Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities
- Answer incoming phone calls and route them to the appropriate person
- Schedule appointments
- Write emails, memos, and letters and distribute them appropriately
- Maintain an organized filing system, both physical files and electronic files
- Develop, update, and maintain relevant office procedures. Update filing systems and devise new filing and organizational and storage systems for data and documents as needed.
- Upload digital files and data, verifiy that scanned documents are clear and legible.
- Organize and archive records and documents.
- Make copies of paperwork and distribute as needed.
- Retrieve data and files for other departments and personnel.
- Secure and protect the privacy of documents.
- Process requests for files and data.
- Record when and what files have been borrowed and returned.
- Type and perform data entry.
- Check and correct documentation and placement of previously filed documents.
- Respond to client’s inquiries for information.
- Scan and sort incoming mail and faxes.
- Assist with all copy jobs, trial notebook preparation, bates stamping.
Qualifications
- High school diploma/GED required, Associate’s degree or administrative training is preferred
- Previous experience as an Administrative Assistant or in a similar position
- Familiarity with standard office equipment such as printers and fax machines
- Excellent computer skills and knowledge of Microsoft Word, Excel, and Adobe PDF, with a typing speed of at least 65 wpm
- Highly organized with excellent time management skills and the ability to prioritize projects
- Candidates should possess a valid driver's license, have their own transportation, and be authorized to work in the United States on a full-time basis for any employer.
- Spanish speaker is a must, as our client base is mostly Hispanic and you will have direct contact with clients on a daily basis.
